The International Christian Embassy Jerusalem is a global ministry representing churches, denominations, and millions of Christians worldwide who share a love and concern for Israel and who seek to repair the historic breach between the Church and the Jewish people. In general, the following applies for International volunteers who are accepted to serve at the ICEJ. (For Israelis, the terms of service will be negotiated):

  • Housing in a two bedroom apartment with a staff member of the same gender. This enables everyone to have their private bedroom.
  • Israeli medical insurance.
  • Israeli cellphone or sim card for those who prefer their personal device.
  • A monthly cash stipend of NIS 2,200 plus NIS 600 lunch assistance. That is about US$800 at the current exchange rate. Staff members pay their apartment utilities (electricity, gas and water), as well as a condominium fee if applicable.

Feast Team Administrator

Main Tasks & Responsibilities:

The Feast Teams Administrator manages and improves all Feast Teams-related processes, including the administration and registration process of Team Members, including team placements, communication, payments, updating the Team Member website and Feast pages, etc.

Feast Office Support prior-to, during and post-Feast:

  • Including Preparing all signage for the Feast, including country flags for Jerusalem March
  • Ordering Team T-shirts and staff shirts
  • Ordering Sim cards and preparing Feast phones for distribution to Team Leaders and selected Team Members.
  • Ordering Water and Pais Arena Suite & Team Member lounge drinks and supplies
  • Liaising with external caterers and placing orders for food for Team Members at the Pais Arena, and sandwiches for bus tours.
  • Obtaining Feast Team Floats and distributing to Department/Team Leaders
  • Reconciling Floats at the end of the Feast
  • Check Ushers waist coats & Security Team shirt are clean, that the Ushers yellow vest and flashlights are accessible and have working batteries.
  • Post-Feast, co-ordinate dry-cleaning of security shirts, Ushers waistcoats and Dancer costumes Assisting with any immediate Feast issues occurring on-site at venue.

Managing Vendor contracts and support during the Feast:

  • Liaising with Vendors to purchase a booth or table
  • Coordinating Vendor contracts in relation to booth or table selection
  • Liaising with Booth contractor and providing information for booth signage and building of booths

Other ad-hoc responsibilities as determined by Management

Requirements:

  • MS Office knowledge (basic level) and overall ability to work related technology, Saleforce.

Assistant to VP Operations

Main Tasks & Responsibilities:

The Assistant to VP Operations provides Administrative Assistance & Feast Support as follows:

Administrative Assistance

  • Update and maintain ICEJ phone list and birthday list
  • Maintaining the Birthday Calendar & preparing birthday cards for staff
  • Maintaining the chapel calendar
  • Handling all phone inquiries and SIM cards for the VP of Operations
  • Transcribing dictation from the VP of Operations
  • Handling monthly orders and pick-up’s for VP of Operations
  • Helping update/maintain list of recipients of Rosh Hashanah gift packages & works in ordering packages/delivery
  • Updating the monthly TCS report for the Finance Office
  • Ongoing training on Microsoft Office and Events Air & Teams as required
  • Assisting the VP of Operations in coordinating staff outings and events
  • Ordering Staff and National Directors ID cards
  • Assessing ICEJ phones annually
  • Request and process airport security and travel insurance for staff
  • Request and process travel phone package requests for staff
  • Maintains monthly mileage reports for ICEJ vehicles

Feast Support

  • Knowledge of Feast Teams, Feast Office Responsibilities, Team Member Process, etc.
  • Updating the Planner/Trello Board and the main Feast calendar for the VP of Operations
  • Maintaining packing labels for all departments, securing office supplies for the Feast Office, printing Feast prayers, checking/preparing Feast signage for Arena, handling keys for different offices at Feast
  • Preparing flags for the Parade of Nations and other events
  • Ordering sim cards
  • Preparing and assigning the feast phones
  • Assisting with rental cars and maintaining the list of drivers
  • Preparing parking passes for the Arena
  • Handling the food orders and correspondence with caterers
  • Preparing the batteries and flashlights, glowsticks, communion elements, etc.
  • Assisting in problem solving at the different locations
  • Assisting with selection/notification of acceptance with Feast Team Members
  • Ordering t-shirts for Staff, First Air, Logistics, Drivers, etc.

Events Registration Assistant

Main Tasks and Responsibilities:

The Events Registration Assistant assists the Events Registration Director in the following:

  • Assists throughout the whole registration process of delegates and VIPs from start to finish in all ICEJ events
  • Responsible for correspondence with delegates, ICEJ branches, and third-party suppliers regarding event information and registration procedure
  • Works with Finance Department for invoices, receipts, and any other financial document necessary within the registration process (pre, during, post event)
  • Assists in the building and updating of registration websites, onsite portals, and other event registration software including basic web development, under the training of both the Chief Information Officer and Events Registration Director
  • Writing and editing event collaterals, registration reports, team member registrations, and any other registration-related reports necessary
  • Overseeing the organization, interdepartmental coordination, and team delegation of the registration department  
  • Other occasional responsibilities (i.e. client calls, VIP liaison, administrative assistance to the Executive Office, extended work hours during peak seasons)

Facilities Coordinator (Urgently required)

Main Tasks and Responsibilities:

  • Managing, buying & maintaining the facilities and the infrastructure of the ICEJ offices, the logistic storage units (offsite) as well as the different ICEJ staff apartments.
  • Ensuring the cleanliness, function ability, cost effectiveness and provision of the whole ICEJ premise.
  • Liaising with local suppliers for ordering, receiving and organizing logistic and facilities items.
  • Other occasional responsibilities (i.e. Feast of Tabernacles/Special events etc.)
  • Supporting a Feast team of nine members for logistics during special events such as the yearly Feast of Tabernacles and managing the logistical needs for all departments.
  • Purchasing logistic items based on an approved budget.
  • Maintaining two ICEJ vehicles including one trailer. Cleaning monthly and taking them for general services, to road taxes as well as road testing, annually.
  • The Infrastructure & Facilities Manager develops and improves internally all Infrastructure & Facilities related processes.
  • Supporting Leadership and staff with all questions regarding building, office and logistics.
  • General repairs, electrics, plumbing, and occasional D.I.Y projects on all staff apartments. Liaising with Housing Coordinator.

Media & Publications Administrative Assistant & Writer

The International Christian Embassy is looking for a full-time Media & Publications Administrative Assistant to join the Media and Publications Team! Admin Tasks:

  • Monitor the ICEJ media inbox and respond to basic queries, or forward to the relevant department for an appropriate response.
  • Emails distribution: Using Pardot and text/photos provided by the Publications Team, or the articles you write up, create & send emails to specific email lists twice a week or more frequently as determined by leadership.
  • Website: Ensure that the website is always updated with latest information. In relation to email campaigns or communication, create new pages as needed, upload weekly news reports, commentaries, Prayer schedules or Press Statement content etc.
  • Maintain file structures and content for shared work within Publications Department.
  • Maintain and update Publication’s content on “Teams” to help facilitate open/smooth communication between Publications and ICEJ branch offices.
  • Assist with maintaining an online library of photos.
  • Assist with general proofing of articles, magazine or any project being produced within the Media and Publications department.
  • General admin support for Head of Department and other related duties as assigned.

Writing:

  • Write articles relating to ICEJ Aid and Aliyah initiatives, and on any other relevant content as required by Media and Publications.
  • At times accompany the ICEJ Aid department on project visits for the purpose of reporting on the project and submitting written content and photos for email distribution or magazine.
  • Write a general description of the magazine for electronic distribution.
  • Assist with posting content on social media if necessary.
  • ICEJ Events: Writing for bulk email communication, gathering content for stories, interviewing if required, obtaining quotations, sending information to social media for posting.
